Airline Group Booking Terms and Conditions

Complete terms for domestic and international airline group booking — IndiGo, Air India, SpiceJet, Vistara, Emirates, Qatar Airways & 100+ carriers | 10+ passengers

These Airline Group Booking Terms and Conditions govern every group flight reservation (10 or more passengers) made through Airlines Group Booking (airlinesgroupbooking.com) and FareHawker Travel Jockey LLP — whether you book on domestic routes within India (Delhi–Mumbai, Bangalore–Chennai, etc.) or international sectors (Delhi–Dubai, Mumbai–London, Delhi–Singapore, USA, and beyond). We arrange group fares across IndiGo, Air India, SpiceJet, Vistara, Akasa Air, Emirates, Qatar Airways and 100+ carriers. By requesting a quote, confirming a booking or making payment, you accept these terms. Please read them carefully before proceeding with your group flight booking.

1. Who do these terms apply to?

These terms apply to all customers — individuals, corporates, travel agents, schools, sports teams, wedding groups and MICE organisers — who book group air tickets through FareHawker / Airlines Group Booking for any domestic or international airline. FareHawker acts as your booking intermediary and group desk partner; the contract of carriage (your actual flight ticket) is between you and the operating airline. These terms work alongside our Privacy Policy, Payment Options and any airline-specific group terms linked at the bottom of this page. If there is a conflict between airline rules and these general terms, the airline's published group booking policy takes priority for flight-related matters.

2. Group size — all airlines

A group booking requires a minimum of 10 passengers travelling on the same flight number(s), date(s) and itinerary (origin to destination). This 10+ rule applies across virtually all airlines we work with — IndiGo, SpiceJet, Air India, Vistara, Air India Express, Akasa Air, Emirates, Etihad, Qatar Airways and others. Some carriers may accept smaller groups (8–9 passengers) on select routes at higher fares; we confirm eligibility in your quote. Maximum group size depends on seat availability and airline policy — large groups (50–200+ passengers) may require split bookings or multiple flight numbers. Infants (under 2 years) are usually counted separately and may not always count toward the minimum group size; children and adults typically do. For sector-wise group booking minimums, contact our Group Desk.

3. Booking and quotes

To initiate a group booking: share your origin, destination, travel dates (onward and return if applicable), passenger count (adults, children, infants) and any special requirements. We send a customised group fare quote — typically valid for 24 to 72 hours unless stated otherwise. The quoted fare is not guaranteed or locked until we receive your deposit or full payment as per the payment schedule. You must provide accurate traveller names exactly as they appear on government-issued ID (Aadhaar, passport, etc.); incorrect names may incur airline correction fees or denied boarding. Quotes include applicable taxes and surcharges only when explicitly mentioned. For corporate and MICE group travel, we can negotiate extended quote validity, flexible name finalisation windows and custom payment milestones — discuss with your dedicated account manager.

4. Payment

Group bookings follow a deposit + balance structure unless full upfront payment is required by the airline. The deposit (typically 20–50% of total fare, as specified in your quote) must be paid by the due date to hold seats. The remaining balance is due on or before the date stated in your booking confirmation — usually 14 to 30 days before departure for domestic groups and 21 to 45 days for international groups. Accepted methods include credit/debit cards, net banking, UPI and bank transfer as listed on our Payment Options page. All amounts are quoted in INR (Indian Rupees) unless otherwise agreed. Late or missed payments may result in automatic cancellation of the seat block without refund of the deposit. FareHawker does not use client funds for any purpose other than your confirmed booking after your written approval. GST and airline-imposed fuel surcharges apply as per the quote breakdown.

5. Cancellation and refunds

Cancellation rules are governed by the airline and fare type booked — group fares are often partially or fully non-refundable. If you cancel, we will apply the airline's cancellation charges plus any FareHawker service fee disclosed at booking. Refunds (where permitted) are processed only after we receive the amount from the airline, which may take 4 to 12 weeks. Deposits on non-refundable group fares are generally not refundable. Partial cancellations (reducing group size below the minimum) may void the group fare and reprice remaining passengers at individual ticket rates. No-show passengers forfeit their ticket value unless the airline permits otherwise. We strongly recommend confirming cancellation terms in your quote before payment. For urgent cancellation requests, call +91 96547 45 805 immediately.

6. Name or date changes

Most group bookings allow name finalisation (submitting final passenger names) closer to departure — often 7 to 21 days before travel, depending on the airline. Name corrections after finalisation may attract fees (typically ₹1,500–₹5,000+ per passenger on domestic; higher on international). Date changes and route changes are subject to seat availability, airline approval and fare difference; not all group fares permit changes. Spelling corrections (minor) are often free if requested before the name finalisation deadline. Send all change requests in writing to groupdesk@farehawker.com or through your account manager; we confirm feasibility and cost before processing. Free name changes apply only where explicitly stated in your quote and as per airline policy.

7. Baggage and seats

Checked and cabin baggage allowances follow the operating airline's policy for the fare class booked — group bookings do not automatically include extra baggage unless specified in your quote. Typical domestic allowance: 15–20 kg checked + 7 kg cabin. International allowance varies by airline and route (often 23–30 kg checked). Extra baggage can usually be pre-purchased at discounted group rates; request this at booking. Seat allocation is at airline discretion; we can request adjacent or block seating where permitted but cannot guarantee specific rows or seats. Web check-in opens per airline schedule (usually 48 hours to 24 hours before departure). For wheelchair, medical or meal requests, inform us at least 48–72 hours before departure.

8. Documents and visas (international flights)

Every international group traveller must carry a valid passport (minimum 6 months validity beyond return date, for most destinations). Visa requirements depend on nationality and destination — e.g. UAE visa on arrival/e-visa for Indian passport holders, UK Standard Visitor visa, US B1/B2 visa. FareHawker can provide general travel document guidance but does not guarantee visa approval or entry at destination. It is your responsibility to ensure all passengers hold correct documents before travel. Passengers denied boarding or entry due to invalid or missing documents are not eligible for refund from the airline or FareHawker. For domestic flights within India, valid government photo ID (Aadhaar, passport, driving licence, voter ID) is required as per airline and airport security rules.

These terms are governed by the laws of India. Airlines Group Booking and FareHawker.com are operated by FareHawker Travel Jockey LLP, registered in India. Frequently Asked – Group Booking Terms & Conditions

Common questions about airline group booking terms, payment, cancellation and policies

1 What is the process for making a group booking with all flight airlines?

Submit your route, dates and passenger count (10+) via our website form or call +91 96547 45805. We send a customised group fare quote valid 24–72 hours. Pay the deposit to hold seats, then the balance by the due date. Once confirmed, you receive e-tickets by email for all passengers on one PNR.

2 Are there any discounts available for bulk air tickets?

Yes. Group bookings (10+ passengers) typically receive negotiated fares lower than individual tickets — often up to 40% off * (conditions apply) on domestic routes and 25–35% on international sectors. Discount depends on airline, route, dates and group size. Request a quote for your exact savings.

3 What are the payment options for group bookings?

We accept credit/debit cards, net banking, UPI and bank transfer. Group bookings use a deposit + balance model — pay 20–50% deposit to block seats, then the remaining amount by the deadline in your confirmation (usually 14–30 days before domestic travel; 21–45 days for international).

4 How can I request special assistance for my group?

Request wheelchair, medical equipment, special meals or other assistance at the time of booking or at least 48–72 hours before departure. We pass your request to the airline; confirmation depends on carrier policy and aircraft type.

5 What is the cancellation policy for group bookings?

Cancellation rules depend on the airline and fare type booked. Group fares are often partially or fully non-refundable. Deposits on non-refundable fares are usually not returned. We apply airline cancellation charges plus any disclosed service fee. Refunds take 4–12 weeks after airline processing.

6 Can I make changes to an existing group booking?

Yes. Name changes, date changes and route changes are possible subject to airline rules, seat availability and fees. Most group bookings allow name finalisation 7–30 days before departure. Send change requests in writing to groupdesk@farehawker.com; we confirm cost before processing.

7 How do I receive my group booking confirmation?

After deposit payment and airline confirmation, you receive a booking confirmation and e-tickets by email. Ensure the email address provided at booking is correct. Your dedicated account manager can also share PNR details, payment receipts and passenger lists on request.

8 Are there baggage allowances for group bookings?

Baggage allowance is set by the operating airline for your fare class — typically 15–20 kg checked on domestic and 23–30 kg on international routes. Group bookings do not include extra baggage unless stated in your quote. Extra baggage can be pre-purchased; ask at booking.

9 What happens if a group member cannot travel?

If a group member cannot travel, contact us immediately. Options depend on airline policy — substitution (name change), partial cancellation or no-show forfeiture. Reducing the group below the minimum size may void the group fare and reprice remaining tickets.

10 Do you provide travel insurance for group bookings?

Optional travel insurance can be arranged for group bookings covering trip cancellation, medical emergencies and baggage loss. Coverage and premium vary by destination and group size. Ask your account manager when requesting a quote.

11 How long is a group booking quote valid?

Group fare quotes are typically valid for 24 to 72 hours from the time of issue. Fares are not locked until deposit payment is received. For corporate and MICE groups, we may extend validity on request. Always confirm the expiry date shown on your quote before making payment.

12 What is the minimum group size for booking?

The standard minimum is 10 passengers on the same flight and itinerary across almost all airlines we work with. Some routes may accept 8–9 passengers at higher fares. Infants under 2 years may not count toward the minimum. We confirm exact requirements in your sector-specific quote.

13 Can I book different routes for group members?

Yes. Group members can travel on different routes or dates within the same booking arrangement. Each sector is quoted separately. Discuss split itineraries, multi-city routes or staggered departures with your account manager for tailored group solutions.

14 Is there a dedicated account manager for group bookings?

Every group booking is assigned a dedicated account manager who handles quotes, payments, name finalisation, ticketing and post-booking support. Your manager is your single point of contact from enquiry to departure.

15 How far in advance should I book group travel?

Book 2–4 weeks ahead for domestic groups and 4–8 weeks for international routes. Peak seasons (Diwali, Christmas, summer holidays, Dubai/New York routes) require 8–16 weeks advance booking for best fares and seat availability.

16 Are there additional fees for last-minute group bookings?

Last-minute group bookings (within 7–14 days of departure) may be possible subject to seat availability but often at higher fares with limited airline flexibility on changes and cancellations. Contact +91 96547 45805 for urgent group seat blocks.

17 Can I earn frequent flyer miles with group bookings?

Frequent flyer miles may be credited depending on the airline and fare type — many group fares are excluded from mileage programmes. Confirm eligibility with your account manager before booking if miles are important to your group.

18 What documents are required for group booking confirmations?

We need a passenger list (names as on ID/passport), contact details, payment confirmation and any special assistance requests. For international groups, passport copies and visa details may be required before ticketing. Your account manager provides a checklist at booking.

19 Do you offer support for visa and immigration services?

We provide general guidance on passport and visa requirements for international group travel. We do not process visas on your behalf but can advise on typical documentation for destinations like UAE, UK, USA, Singapore and Schengen countries.

20 How do I provide feedback or file a complaint?

We welcome your feedback. Email support@farehawker.com or use our Contact Us page to share comments or file a complaint. All disputes are handled per these terms and governed by Indian law. We aim to resolve concerns within 5–7 working days.
